Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.
The Women, Infants and Children (WIC) Program of the Bureau of Child, Family and Community Wellness within the Nevada Division of Public and Behavioral Health is recruiting for an Administrative Assistant 3 position. This administrative assistant position requires availability Monday through Friday, 8:00 AM through 5:00 PM. This position provides general and fiscal administrative support to the Nevada WIC Program and WIC staff in Carson City following established procedures, performs assigned duties in an accurate and confidential manner to include, but not limited to, typing, filing, copying, shipping, mailing, faxing, scanning, and emailing. This position coordinates, monitors, and maintains supplies and orders for all the WIC Local Agencies; obtains quotes and prepares purchase orders for supplies, print jobs, etc. This position uses computer applications to include, but not limited to Microsoft Word, Outlook, and Excel and Adobe software; assists in formatting, editing, proofreading, and producing annual and other documentation, such as brochures, newsletters, and presentations for public and private audiences; assists in making travel and motor pool arrangements for various members of the WIC program and in updating WIC website materials; ensures all appropriate authorizations are in place for travel, and assists with submitting travel reimbursement when travel is completed; answers WIC and CFCW phones and directs calls to the the appropriate person or unit as requested; provides support and back-up to the WIC Office Manager and is responsible for calendaring meetings and conference lines and mail and phone coding as requested; and maintains an inventory and the computer replacement schedule for WIC, as well as tracks WIC staff trainings.

Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above. |
