Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.
Monday through Friday, 8:00 AM through 5:00 PM availability is required. This position provides general and fiscal administrative support to the Chronic Disease Prevention and Health Promotion (CDPHP) Section in Carson City. The incumbent provides administrative support for CDPHP and CDPHP staff, per established procedures; and performs assigned duties in an accurate and confidential manner to include, but not limited to, typing, filing, copying, shipping, mailing, faxing, scanning, preparing minutes, supporting open meeting law boards, and emailing. Obtains quotes and prepares purchase orders for supplies, print jobs, etc. The incumbent uses computer applications to include Word, Outlook, Adobe, and Excel; assists in formatting, editing, proofreading, and producing annual and other documentation, such as brochures, newsletters, and presentations for public and private audiences; assists in making travel and motor pool arrangements for various members of the Section and in editing and updating CDPHP materials; ensures all appropriate authorizations are in place for travel; assists with submitting travel reimbursement when travel is completed; answers Bureau phones and directs calls to the appropriate person or unit as requested; provides training and support to the CDPHP Administrative Assistant team and is responsible for calendaring meetings and conference lines and mail and phone coding; maintains an inventory and the computer replacement schedule for CDPHP; assists with scheduling and facilitating meetings; and performs other duties as assigned.

Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above. |
