The Position
Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.
Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others. This is an Administrative Assistant 3 position with the Department of Education and may be located in Carson City or Las Vegas depending on the candidate chosen and the needs of the agency. This position provides administrative support to 28 Boards, Councils, and Commissions, primarily as the assistant to the State Board of Education and supports the Commission on School Funding to ensure efficient and successful board meetings in compliance with Open Meeting Law. This may include preparing, updating, and tracking multiple iterations of board materials, working with leadership to establish and enforce timelines, ensuring all items are posted and ADA compliant, maintaining accurate records and minutes of all meetings, supporting Board member requests, and tracking Board budgets/ledgers. Under limited supervision, the incumbent serves as the Department's administrative support to admin regulations, coordinating workshops and public hearings, and will serve as the subject matter expert on Open Meeting Law and Administrative Rulemaking to Department staff whose roles include assisting boards. This position assists in creating and overseeing processes to ensure that all agendas and materials are posted in a timely manner and all meeting minutes are accurate and ready for approval in compliance with statutory deadlines; and will also create and maintain a Dept wide repository of appointment materials for board members, coordinating and tracking the status of appointments to board vacancies, and ensure documents are filed and retained according to state retention policies.
This position supports the Superintendent's Office and performs additional clerical duties as necessary. Duties include, but are not limited to: attending, taking notes, creating minutes; drafting and annotating agendas; ensuring posted materials are ADA compliant; reviewing and proofreading materials before being published; maintaining schedules and correspondence; preparing travel documents/claim reimbursements; ordering supplies; processing mail; answering telephone inquiries from staff, other agencies, and the public. To Qualify:
In order to be qualified, you must meet the following requirements:
Education and Experience (Minimum Qualifications)
    Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.
Special Notes
    This position has a 25% travel requirement.
Special Requirements
    A State of Nevada/FBI background check will be required of the selected applicant.
    This position requires a valid driver's license or evidence of equivalent mobility at the time of appointment and for continuing employment.
Additional Position Criteria
    Experience with Open Meeting Laws including creating meeting minutes is required.
    Experience with editing/proofreading documents and converting documents and complex materials into ADA compliant formatting is required.
