The Position
Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.
Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others. The Bureau of Child, Family & Community Wellness is recruiting for the position of Administrative Assistant 3 in the Nevada State Immunization Program. The Immunization Program is composed of the Vaccines for Children (VFC) Program, Nevada WebIZ, IZ Special Projects, Pandemic Influenza Preparedness, School and Childcare Immunization Management, and Immunization Disparities. The major responsibilities of this position include directly assisting the Health Program Manager 2 with the daily administrative operations of the Immunization Program; supervising contracted AA2 staff when present; coordinating program communications/mailings and meetings both internally and with external partners; monitoring Program/Bureau/Division phone lines; engaging stakeholders; and monitoring provider applications for enrollment, etc. Other duties include the creation and maintenance of a variety of documentation, reports, spreadsheets, and databases with content spanning all Immunization Program components, as well as management of the IZ Program Facebook page. Finally, this position is responsible for supporting the operations of the VFC Program by assisting all Health Program Specialists and the Centers for Disease Control and Prevention (CDC) federally-assigned Public Health Advisor (PHA) as necessary to support Program objectives.

To Qualify:
In order to be qualified, you must meet the following requirements:
Education and Experience (Minimum Qualifications)
    Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.
Special Requirements
    A pre-employment criminal history check and fingerprinting are required. Persons offered employment in this position will be required to pay for these items.
    This position requires a valid driver's license or evidence of equivalent mobility at the time of appointment and for continuing employment.
Additional Position Criteria
    Experience using Ektron to manage, build, and maintain public facing websites is required.
    Experience with Open Meeting laws including posting agendas and minute drafting is required.
