Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.
Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education. Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others. This Administrative Assistant III position with the Department of Education located in Carson City and will provide primary administrative support to the 28 Boards, Councils, and Commissions (hereafter referred to generally as boards) coordinated by the Department, primarily as the assistant to the State Board of Education (State Board) to ensure the efficient and successful preparation and execution of board meetings in compliance with Open Meeting Law. This includes preparing, updating, and tracking multiple iterations of board materials and tracking State Board budgets and ledgers.
Under limited supervision, this position will also serve as the Department's primary administrative support to administrative regulations, coordinating workshops and public hearings, and will serve as the subject matter expert on Open Meeting Law and Administrative Rulemaking to Department staff whose roles include assisting boards. This position will assist in creating and overseeing processes to ensure that all agendas and materials are posted in a timely manner and all meeting minutes are accurate and ready for approval in compliance with statutory deadlines.
This position will also create and maintain a Department-wide repository of appointment materials for board members and ensure documents are filed and retained according to state retention policies. This position will serve as a liaison with the Governor's office to coordinate and track the status of appointments to board vacancies.
In support of the State Board of Education, this position will work with Department leadership to establish and enforce timelines to prepare for State Board meetings, including submitting agenda items, support materials, and talking points. This position will triage incoming requests from State Board members as well as facilitate all outbound correspondence to State Board members from the Department.
Success in this position requires problem solving and performance of specialized duties with an exceptional degree of independence, efficiency, and accuracy. The incumbent must have the ability to multi-task and thrive in a dynamic, fast-paced environment. Excellent interpersonal and communication skills are essential for successful job performance. This position must collaborate courteously with Department staff, other government agencies, and the public in performing the responsibilities. The incumbent must be able to ensure the confidentiality of all materials; must be highly proficient in Microsoft Office program applications (in particular MS Word, Excel, PowerPoint, and Publisher), Microsoft Outlook, and video and phone conferencing technologies. Must have experience completing minutes and be familiar Open Meeting Law. Experience supporting boards and using Smartsheet is desired and typing speed of 100wpm is preferred. The work schedule is Monday-Friday, 8:00 A.M. - 5:00 P.M. In order to be qualified, you must meet the following requirements:
Education and Experience (Minimum Qualifications)
Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

This position has a 25% travel requirement.

A State of Nevada/FBI background check will be required of the selected applicant.
This position requires a valid driver's license or evidence of equivalent mobility at the time of appointment and for continuing employment.
Additional Position Criteria
Experience with open meetings, open meeting laws and open meeting law compliance is required.
Experience creating and editing meeting minutes is required.
