Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.
Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others.
*THIS RECRUITMENT MAY CLOSE AT ANY TIME, DEPENDING ON THE NUMBER OF APPLICATIONS RECEIVED.* The Administrative Assistant III completes all employment documents in the Human Resources database, meeting HR and Payroll deadlines for timely payment, and resolving any associated problems with employment documents. Incumbent will prepare and have up to date knowledge of additional hiring documents for all Letters of Appointment, hourly employees, and international visiting artists and students if necessary.
The Administrative Assistant III oversees entry and proofing of class schedules into MyUNLV and course fees to Scheduling and Cashier's offices, maintains course instructors and notes in MyUNLV, inputs student class permissions into MyUNLV for classes, have knowledge of course prerequisites and monitor student progress prior to granting consent. Duties include, but are not limited to: preparing, tracking, monitoring travel documents and claim reimbursements, payment vouchers, creating web-contracts, artist in residence contracts, inter-departmental requisitions, independent service provider contracts, purchase requisitions, invoices, ordering supplies, and miscellaneous receptionist and clerical duties. In addition, the incumbent will be in charge of the department tracking document system. The chosen candidate must demonstrate consistent attendance and punctuality in accordance with University policy. The incumbent must complete work assignments with exceptional degree of independence and efficiency and must facilitate cooperation, tact and courtesy with co-workers, students, faculty, staff and the public in the handling of position responsibilities. Excellent interpersonal and communication skills are essential for successful job performance. Work schedule is Monday through Friday, 8:00 AM to 5:00 PM. EEO/AA/Vet/Disability Employer.

Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience. |
